Marketing firm speeds up contract processing and frees up finance resources

Manual contract review was slowing down the finance team

As Power Digital’s client base grew, its finance team quickly realized the old contract process was not going to cut it. Each new client contract went through multiple rounds of redlining and negotiations, and the final versions often contained discrepancies compared to the data stored in their Snowflake instance. Finding these inconsistencies required manually reviewing 40-page contracts—which wasn’t scalable as the business grew to almost 50 new contracts each month.

Building an AI solution without the engineering overhead

John's team built nova Contract AI, a Retool app that automates the entire contract review process. The Power Digital finance team could upload contract PDFs in bulk, and the application would automatically extract key financial data using AI, compare it to information stored in their Snowflake instance ("nova Cloud"), and alert the team about discrepancies.

"It was just so easy to put something together," says John Saunders, Power Digital’s VP of Product. Instead of building an AI infrastructure from scratch, the team used Retool's native OpenAI connector ↗to integrate GPT-4 models, added Retool's vector database↗ for document embedding, and implemented AI-enabled React components↗ to create a streamlined user experience.

Power Digital’s nova Contract AI application transformed the finance team’s operations, delivering a 90% accuracy rate and saving over 50 hours of work per month. But it wasn’t just the finance teams that saved time—the new development process was twice as fast for the growing business. "Our thought moving forward is that we can cut out a large chunk of our development time by using Retool whenever possible. I think Retool helps us develop at least two times faster," notes Saunders.

nova Contract AI’s initial success has led to broader adoption across the organization. Power Digital’s engineering team also built a performance review portal for HR that saved about one thousand hours of work per review cycle company-wide. The team is also using Retool to build a solution for their weekly employee check-in process, which will replace a SaaS product costing $50,000 annually.
